We hope that the following information will help you to stay organized, understand what is required of you as a Team Captain and most importantly, will allow your team to enjoy a fun-filled day of activities at our event.
While this is a one-day event, your team’s activities should begin now. We ask each team to fundraise for this event to support our charity. While the minimum fundraising amount is $1,000.00 per team registered, our hope is that each team will surpass that amount and make this event an even greater success.
There are prizes for the top individual and team fundraisers, but the real reward is knowing that you helped the local Charity we support.
Here are some suggestions to jumpstart your team’s fundraising.
1. Car Wash
This idea always works. Start with your staff and event branch out to the entire community. You can even charge extra for waxing, vacuuming, and other perks. Just be sure the basic fee gives a good wash!
2. Challenge Your Management
Get your organization’s management on board to match your donations!
3. Company Breakfast
This will work almost any time of the year. Cook some eggs, make pancakes, and you can either have a topping bar, or charge different fees for different amounts of pancakes and toppings (or both).
4. Bake Sale
Consider adding a competition element by having staff from different departments each bake themed treats. Pick a high-traffic spot and whatever you do be sure to have actually good stuff for sale.
5. Dunk Tank
Why not charge a reasonable fee to get the boss dunked? This old staple of carnivals and company picnics is always a delight!

This checklist is designed to give you quick reference to the minimum activities you and your team should be undertaking to ensure your participation in Corporate Challenge is a success. Each item is explained in more detail on the pages that follow.
STEP 1 – CONFIRM YOUR COMPANY’S PARTICIPATION
Confirm that your company will be participating in this year’s event
Determine if your team will be a corporate sponsor. Corporate Sponsorship packages include team(s) registrations, click here to learn more about becoming a sponsor
Determine which session your team will be attending (Morning or Afternoon)
Recruit a minimum of five (5) team members plus two (2) substitutes for your team (everyone must be 19+ years of age)
Decide on a team name
Have each team member (and your company) Like us on Facebook, Instagram and Twitter We share a lot of info and run special contests for valuable time off
STEP 2 – REGISTER YOUR TEAM ONLINE
Go online to complete your team’s registration and process the registration payment of $500.00 using a credit card (Register Here)
Create your team’s fundraising page within the platform
STEP 3 – INVITE YOUR TEAM MEMBERS TO REGISTER ONLINE
Invite all team members and volunteers to register and join your team (Register Here) They will need to select the appropriate session and then your team when registering
Have each team member create their own personal fundraising page within the platform
STEP 4 – BEGIN FUNDRAISING
Decide if your team is going to fundraise online, use pledge sheets, hold a fundraising event, or all of the above
Set ambitious fundraising goals and monitor your teams’ progress (Note: $1,000 fundraising minimum for each team) Many teams will set more aggressive targets

Send Windsor Corporate Challenge your fundraising events so we can help advertise and/or showcase online through our social media platforms

STEP 5 – ALONG THE WAY
Decide on team uniforms to promote your company (typically t-shirts or themed costumes)
Decide if your team is going to pre-order food and if so, place your food order online
Delegate responsibility to team members for items you may require on event day
Decide if you are going to bring your own 10×10′ tent or rent a 10×10′ tent (if you are renting a tent from a third-party vendor, please inform the WCC committee so we can coordinate with you for the required permits)
Plan to bring some chairs and tables that your team can
**Please Note: There is ABSOLUTELY NO ALCOHOL IN THE TENT AREA and No barbeques allowed in the tent
area as this is a fire safety issue
Keep in touch with your team members to ensure they are meeting their fundraising goals
STEP 6 – ATTEND THE CAPTAIN’S MEETING
Invite your co-captain and attend the info meeting where we reveal details and game info
Plan a follow-up meeting with your team to share
STEP 7 – PARTICIPANT REGISTRATION SWAG BAG PICK UP – DAY OF THE EVENT
Ensure that each team member attends the in-person registration at the event location during registration (Vollmer Complex pavilion). Please note that each team member must individually pick up their participant swag bag during registration as they are required to complete the final waiver sign off in person.
Hand out parking passes to your team members and coordinate carpooling
Communicate any last minute information to your tea
STEP 8 – EVENT DAY
Arrive early to set up your team’s location in the communal tent
Collect all last minute fundraising from team members and submit all offline donations to the Captain’s Check-in (in the pavilion) before your session’s opening ceremony
Pick up your game schedule when you submit your offline donations at the Captain’s Check-in (in the pavilion) before your session’s opening ceremony
Attend Opening Ceremonies with your team members
Get Ready for your first event – please be on time
Ensure your team is at each event on time or early
Remind team members to have fun and be safe
Make sure your team gets home safely following the event
STEP 9 – POST EVENT
Remit any outstanding fundraising monies to Windsor Corporate Challenge as soon as possible
Share your experience with your organization and thank participants
Provide the Windsor Corporate Challenge with your comments, concerns and suggestions via an online survey
Watch our Facebook and Instagram pages for event pictures and remember to share your photos as well
Windsor Corporate Challenge teams are required to have a minimum of 5 people at each event. Most teams register up to 8 people as this allows team members to sit out of a game, bathroom breaks, etc.
Should anyone from your organization want to volunteer instead of participating on your team, please have them complete the Volunteer Application Form.
Yes, you will be able to participate in all the game day events for Windsor Corporate Challenge. Your schedule will have predetermined slots of 15-minute breaks to allow your team to rest, stay hydrated and eat.
The entry fee is used to offset the costs of running Corporate Challenge (i.e. event costs, tent rentals, equipment rentals, waste containers, security, police, volunteer lunches etc. etc.). All net funds including any balance of the team’s entries fees, all funds raised on event day (i.e. food sales), and 100% of the monies fundraised by the teams participating in Corporate Challenge go directly to the charity. Not one penny will go to waste nor do any monies associated with this event go to any other source. All members of the Corporate Challenge Committee are volunteers and are providing their time and efforts at no charge.

All members of the Corporate Challenge Committee are volunteers and are providing their time and efforts at no charge.
If you have participated in Windsor Corporate Challenge before we recommend telling your team members about your first-hand experience and all the fun you had! If this is your first year participating, we recommend that you show your team our poster, send out emails to keep your team members engaged, and set up meetings to keep track of your fundraising goals.
There are a variety of events you will be participating in on game day. Some of the events are physical, some will challenge your mind, and some involve water!
If one of your team members can no longer attend the event and it is at least 10-days before the event, you can register another member to your team in there place. We also recommend having the maximum amount of players on your team incase of any last minute drop outs. Each event is designed to be played with 5 team members.
You add additional team members by visiting the Windsor Corporate Challenge website and registering them. This must be done at least 10-days before the event date, as these new members will need to sign off on waiver and get their wristband.
We’re sorry to see you go but we understand. Even with the best intentions sometimes our plans do not come to fruition. We will take care of removing your team from our registration database.
As for the registration fee…. if you are withdrawing your team 30-days prior to the event you are able to request a refund of your registration fee. Any teams who withdraw within 30-days of the event will have their registration fee converted to a donation and a charitable tax receipt will be issued.
If you would still like to participate in the event, we can always use extra volunteers. If you are interested, please let us know.
This is not a goodbye but a see you soon. Hopefully, your team will sign up for next year’s event.
DONATION QUESTIONS
The Windsor Corporate Challenge sets a minimum donation amount to ensure that the selected charity will receive enough funds to complete their goal.
All cash donations raised by your team must be handed in by the team’s captain on the event day at the captain’s check in prior to opening ceremony for your team session.
Donations are collected online through RaceRoaster and each team members profile page. Printable forms are available to download following these questions.
Windsor Corporate Challenge can act in your place to deliver your donation to the selected charity.
- Windsor Corporate Challenge will provide your receipt for the team registration fee
- The charity will issue receipts for online donations via email for all donations over $25 within 60-days of the donation
- The charity will issue recipes for day of cash donations via email for all donations over $25 within 60-days of the event day
PARTICIPANT SWAG BAGS
- Some sweet swag donated by the event sponsors and community partners
- Individual wristband which must be put on by a member of the Windsor Corporate Challenge committee and be kept on until the end of the event day
- Final waiver
You are required to pick up your participant swag bag in-person and sign off on the waiver to legally be allowed to participate.
You can pick up your participant swag bag the day before the event from 8 am to 7 pm at either
- The Job Shoppe, 12137 Tecumseh Rd. E., Tecumseh On, N8N 1M2
- The Vollmer Complex, 2121 Laurier Pkwy, Windsor, ON N9J 0B4
- If each one of the over 1,500 participants decided to pick up their participation kit on the day of the event, there would be an extreme delay. This would affect start times, schedules, and ultimately the whole day
- If you have a special circumstance, please contact info@windsorcorporatechallenge.com to arrange a pickup time for your participant swag bag before the day of the event
- We will not be able to hand out participant swag bag on the event day
Unfortunately, team captain’s or another representative CAN NOT pick up participant swag bag(s) for another team member. There are two reasons for this:
- Each participant must show their photo ID to confirm their age and sign off on the final waiver
- Each participant must have their wrist band applied by a WCC member
The wristbands are required to verify that you are at least 19 years of age. The Windsor Corporate Challenge is a liquor licensed event, therefore all participants, volunteers and committee members must be at least 19 years of age or older to participate.
FOOD QUESTIONS
Due to fire regulations, you CANNOT bring a BBQ onsite. Not to worry, we will have food available for purchase from our onsite vendor(s) either with your team’s pre-order or during the designated lunch break onsite. All proceeds from food sales go towards the charity.
EVENT DAY QUESTIONS
Please come prepared to have fun and get dirty. We suggest that team members bring running shoes, towel, sunscreen, hat, change of shoes/clothes for the end of their day and anything else they may feel necessary for an outdoor event.
The Windsor Corporate Challenge will take place rain or shine! Please check your local weather station the day of your event and bring the appropriate protective clothing.
Your team’s event schedule will be provided to the team captain when they check in on the event day.
The online app will be available the day before the event begins.
The Vollmer Complex has an outdoor washroom facility located in the pavilion near the captain check in station and lunch area.
Yes, first aid will be on site for the entire event day.
The opening ceremony include an introduction of the event, a word from the charity and a quick warm-up session.
The Windsor Corporate Challenge does not provide lockers for the event. Your personal belonging are best left in your locked vehicle or with someone you trust in your tent space. The Windsor Corporate Challenge does not take responsibility for any lost or stolen items.
All participants are required to part in one of the two designated parking lots onsite at the Vollmer Complex on the event day. Team captain’s will be provided with parking passes for their teams and all vehicles must have the parking pass on display.
Please note that the Vollmer Complex has their own regularly scheduled activities on our event date. If team members are found to be parked in an unauthorized parking lot, the Windsor Corporate Challenge will make every attempt possible to locate that team and have the vehicle moved. The Vollmer Complex reserves the right to tow any vehicle parked outside of the two approved parking lots at the owners expense.
The Windsor Corporate Challenge strongly encourages team’s to carpool to the event.
You are more than welcome to bring your company’s branded vehicle however it must be parked in one of the two assigned parking lot and displaying the parking pass. Teams are not allowed to bring any vehicles (branded or not) onto the grass or tent area – this is for everyone’s safety. The Vollmer Complex reserves the right to tow any vehicle parked outside of the two approved parking lots at the owners expense.
The fundraising and event winners are announced at the end of the day during the closing ceremony at 4:00 pm.
